Terms of Service
A plain-English summary of how BookFlow works as a service. The legally binding version is the Hungarian original at /aszf/.
/aszf/ take precedence.
1. General provisions
1.1 Scope
These Terms govern the use of the BookFlow online booking service ("Service") operated by Webshopbirodalom Ltd. ("Provider"). By creating an account or subscribing to the Service, you ("Customer") accept these Terms.
1.2 Who can use the Service
The Service is intended for businesses and self-employed professionals (e.g. beauticians, hairdressers, trainers, masseurs) who provide appointment-based services. Both Hungarian and EU-based businesses may register.
2. The Service
2.1 What we provide
- An online booking system with admin interface (calendar, services, clients, statistics)
- Automatic email confirmations and 24-hour reminders
- A unique booking link the Customer can share with their clients
- Hosting on EU servers (Germany), GDPR-compliant infrastructure
- Optional online (card) payments — deposits and passes — via Stripe
2.2 What we do NOT provide
- We are not a party to the contract between the Customer and their end clients — the professional service and its fee are settled between them (BookFlow can facilitate optional online payment via Stripe where the Customer enables it)
- SMS notifications (email only in V1)
- Marketing services or client acquisition for the Customer
2.3 Plans
Three plans available: Free (one profession, one staff member), Pro (all modules unlocked — custom domain, calendar sync, online payment, invoicing, passes, waitlist, loyalty, reviews) and Salon (multiple professions and 5–8 staff with separate calendars). Current prices and feature lists are on the pricing page.
3. Contract formation
3.1 Registration
The contract is formed when the Customer completes registration and accepts these Terms. Free plans require no payment; Pro and Salon plans require a valid payment method.
3.2 Launch discount
Early adopters who subscribe during the launch period receive a 50% discount on Pro and Salon plans. This price is locked in for the lifetime of an uninterrupted subscription.
3.3 Duration
The contract is open-ended and can be terminated by either party with 30 days' notice, effective at the end of the current billing cycle.
4. Pricing & billing
4.1 Fees
Listed in HUF on the pricing page. The Provider is currently VAT-exempt under the Hungarian subjective tax-exemption scheme (AAM); this may change with future tax regulation updates.
4.2 Billing cycle
Monthly, in advance. Invoices are issued automatically through Billingo.
4.3 Payment method
The subscription fee is charged by card via Stripe at the start of each billing cycle. Card data is handled solely by Stripe (PCI-DSS); the Provider does not see or store it. A NAV-compliant e-invoice is issued for every payment (Billingo). Failed card charges suspend the account after a 14-day grace period.
4.4 Price changes
The Provider may revise prices for new subscribers at any time, but existing subscribers keep their original price for as long as the subscription is uninterrupted (the launch-price lock-in).
5. Responsible use
5.1 Customer's obligations
- Provide accurate registration data and keep it up to date
- Use the Service in compliance with Hungarian and EU law
- Process their own clients' personal data lawfully (see Privacy Policy)
- Inform their clients that bookings are processed via BookFlow
5.2 Prohibited use
- Illegal activities, fraud, or harassment
- Attempting to compromise the system (hacking, scraping, DDoS, etc.)
- Reselling or sublicensing the Service without written permission
6. Liability & warranties
6.1 Availability target
The Provider aims for 99.5% monthly uptime as a best-effort target. Planned maintenance is announced in advance. Force majeure (DDoS, hosting outages) is excluded.
6.2 Liability cap
The Provider's liability is capped at the amount paid by the Customer in the 3 months preceding the claim. Indirect damages (lost revenue, missed opportunities) are excluded to the extent permitted by law.
6.3 Data backup
The Provider performs daily backups but the Customer is encouraged to maintain their own contact-list backup as a precaution.
7. Termination
Either party may terminate the subscription with 30 days' notice. Upon termination, the Customer's data is retained for 30 days (for possible reactivation), then deleted in accordance with the Privacy Policy.
The Provider may immediately suspend service for serious breaches (illegal use, payment fraud, system abuse).
8. Disputes & governing law
Hungarian law applies. Disputes are first resolved through negotiation. If no agreement is reached, the courts of Budapest (Pest county) have exclusive jurisdiction.
For consumer-related disputes (where applicable), the Budapest Chamber of Commerce Conciliation Body (Budapesti Békéltető Testület) is available as an alternative.
9. Changes to these Terms
The Provider may amend these Terms at any time. Material changes will be communicated to existing subscribers by email at least 30 days in advance. Continued use after the effective date constitutes acceptance.
